Position Summary
The Payroll Analyst is responsible for processing the multi-state payroll to ensure accurate and timely processing. Understanding of payroll laws, tax regulations, and compliance. Collaborates with HR, Finance, and other stakeholders to ensure payroll data integrity, resolves payroll issues, and implements improvements in payroll processes.
Key Responsibilities
- Payroll Processing: Process bi-weekly payroll for all employees, ensuring compliance with federal, state, and local tax laws and company policies. Review and validate timecards; reconcile rates, OT, fringes, deductions. Process payroll liabilities: taxes, garnishments, 401(k), HSA/FSA where applicable; remit on schedule; maintain proof of filings.
- Compliance: Assist with new state payroll tax registrations and ensure that payroll is in compliance with federal, state, and local tax regulations, wage and hour laws and company policies
- System Management: Maintain the payroll system, ensuring data accuracy, troubleshooting issues, and recommending process improvements.
- Audits & Reporting: Assist in internal and external payroll audits as necessary. Post payroll to the GL, reconcile payroll accounts, and partner with accounting on job cost allocations
- Problem Resolution: Handle payroll discrepancies and resolve employee payroll issues in a timely manner.
- Collaboration: Work with the HR team regarding payroll related items such as benefit deductions, leave of absences, onboarding of new employees, termination of existing employees, and data validation in ADP
- Process Improvement: Identify areas for process optimization within payroll and implement best practices for efficiency. Analyze payroll data to identify trends, discrepancies and opportunity areas, and provide payroll reports as needed
- Quarterly and Annual Procedures: Assist with year-end payroll procedures, including W-2 reviews and filings and any applicable tax reporting.
Skills & Competencies
- In-depth knowledge of payroll regulations, including tax withholding, garnishments, and other payroll-related laws.
- Experience with payroll systems (e.g., ADP, Workday, SAP) and strong proficiency in Excel.
- Certified Payroll Professional (CPP) designation preferred.
- Strong analytical and problem-solving skills.
- Excellent communication skills, with the ability to collaborate with cross-functional teams.
- Attention to detail and a high level of accuracy.
Preferred Qualifications
- Minimum of 3 years of hands‑on experience with ADP Workforce Now.
- Experience supporting HR audits or compliance activities.
- Experience within manufacturing, life sciences, or technology industries.
- FPC, CPA, CPP Payroll certification is highly preferred.
- Associate's or bachelor's degree is recommended
- Bilingual Spanish or Vietnaness Preferred
